Hi,

I'm writing a workflow that will ask someone for information (specifically, a tick box to authorise something). But, I only want a small subset of users to be able to do this and mark the task as complete.

By default the workflows I have created in Sharepoint Designer create the task in the Tasks list is created as part of the site when SPS was originally installed.

My thought is that if I create a seperate task list and restrict it down to only those users who are authorised to complete this. But I can't work out how to change the task list!

Can anyone suggest anything

go to the actual task list in sharepoint, edit the list settings, then permissions for this list.

there you can restrict the task list to groups/users.

yes I can restrict the permissions of the list.

The problem is that it puts it into the sites default task list, which I can't restrict because it is used for other things.

Therefore I need a seperate task list which will be secured seperately.

Hi,

You can change which workflow task list to use in the workflow association.

(your list->settings-workflow settings, edit the workflow association)

Hello Daniel,

Your idea works if the workflow was created using the wss, but if you use the Sharepoint Designer 2007 you can't do that.

Otherwise it just pops you to change the data using the SP Designer... in the Designer, until now, I'm not having any advances in this area.

I think that I found the solution. In the Sharepoint designer, open the Workflow folder and then the Workflow that you want to personalize.

Afther that open the file that ends with ".wfconfig.xml" in there you will see a XML structure where one of the tags is something like:

<Association
ListID="{70938750-5472-4541-94ED-8348A15A76C6}"
TaskListID="{57E782EA-47D8-4931-BEB5-C1DC24092DCF}"
StartOnChange="true"
>
</Association>
If you change the TaskListID for the one that you want, the task will be created right were it belongs!

Pedro,

I had guessed it would be along those lines!

Unfortuneately the XML was so long and detailed I couldn't spot anything in there!

Now the problem I got is that it then has to go to another completely seperate list for a different group of people to do in the same workflow....

I'll try this out when I return to work though!

Do you know about the advanced settings of the workflow task-list, you can specify the right to complete a task there.

Another way might be by creating a SPItemEventReceiver that changes the acl for the task when it is created
