I have an infopath form submitted to a form library that my users have been submitting data to. This is working out just fine.

My problem is that I need to view the submitted data is a more readable format such as PDF or some other format. In addition to this I need to create this type of format for archival purposes.

Has anyone any ideas on this subject or have any suloutions on how to accomplish this

Some clairification. The problem with selling Infopath is that management doesn't want to see form controls on a printout of the report. As it stands at the moment, if someone prints out data from the forms library, either infopath client or the browser form pops up and you have to print from there. I would like to either be able to create a report page that would print out the data in a template or be able to convert the data to PDF for printing purposes.

Just thought I would throw that clarification in there. I can't beleive I am the only one who has been presented with this issue from management. It's like there is a piece of the equation missing in the infopath solution.

You can create a Data View web part in SharePoint to query data from the SharePoint library and format the output. This is most easily done using the Office 2007 SharePoint Designer (aka FrontPage).

This is an interesting perspective to take. One worth considering. I don't think management is going to buy into it though. They seem more comfortable in having it stored as a pdf file for archival purposes. I just wish I could locate that video I was watching last week that showed one of the InfoPath developers storing the InfoPath form results as a PDF. She had the option appear when you moused over the stored data file within the form library. Still looking for it. I could have sworn I got it from the TechNet site though.

With the full version of SharePoint 2007, I believe you can setup document conversions to convert InfoPath forms to other document types for archival. Once you complete the setup in Central Administration (under Application Management / External Service Connections), you should get on option on the document menu to convert the document.

It appears that the document conversion only converts to HTML. In addition, it appears that you must have a document conversion server to point to in order to facilitate this action. None appears in the drop down box I have. Any thoughts on what I must do to get one recognized Also concerned that if my xml files are converted to HTML, will I loose them as potential datasources or does the conversion merely create a duplicate file with a new extension

Hi Tim,

What you need to do to configure the document conversion service setup is to go to operations management -> services on servers and start the service on one of your servers. This will then appear in the drop down list. The smart client conversion is awesome. It will make a copy, but content will be linked so you can update from the source on the page. Thank you! That is where that video I was looking for existed. My final question is (now that I have the service up and running) how can I increase the number of options available for conversion Currently I am only presented with 1 option (XML to HTML). In the video, I see that one of the selections that the developer has is PDF.

Great. Unfortunately it is my understanding that only certain converters come out of the box. With the ones that do, you need to go to the site and top site settings. From here go to site content types. Click on a content type, for example 'document', and then from there select manage document conversion for this content type. The next page shows the allowed converters that come out of the box. I'm not sure if there is any good documentation out there on creating a converter and installing it, but if anybody else does it would be great to know.

Again, thank you. Your assumption is correct. It appears that the only conversion available is the original document format to HTML. Howver when I attempt to convert the document I get the following error:

The site is not valid. The 'Pages' document library is missing.

I created this library but still get the same error.

This is no problem. You just have to activate the publishing feature from site settings and may have to delete the library that you created before you do this I am not sure.

I think I'm lost in the navigation of where you want me to go. If I go to the location of the form library and then click Site Settings, I do not have any link to publishing feature. If I then just go to the form library settings, I do not see this link either.

Just go to you main Site Actions, Site Settings, under Site Administration click Site Features, then this will bring up the right screen.

Thanks for your help I was aable to locate where to set this. However, it appears that I have already set this parameter. Might there be something else contributing to the error

Currently I have the following Activated:

  • Office SharePoint Server Enterprise Site features

  • Office SharePoint Server Publishing

  • Office SharePoint Server Standard Site features
