Hi

Ive installed WDS and would love to use it. My issue is that some PSTs are not inxeded. By that I mean that if I search for all files in the folder either no results or some results are being displayed.

On some PSTs 14 records are being indexed and it appears to be indexing any additions since I originally created the index. One PST is not being indexed at all. All the PSTs are selected as Indexed Locations under Indexing Options. All the PSTs are together in 1 folder and I cannot see any differences between them.

I would really appreciate some help to fix this problem.

PST files are not indexed in the same way as normal files. They are indexed by the MAPI protocol handler, and as a result, they are only searchable when mounted in Outlook. Turning on indexing in the folder that contains the pst files will have no effect.

Thanks for your reply. The PSTs are mounted in outlook. Indeed over the weekend, I created new PSTs imported all the contents and hey presto - the index built and grew to > 50K (on the "Items indexed so far"). I had a full day of WDS working for me and it was great. I reindexed last night and I am back to the starting point - approx 26K indexed items with some PSTs not indexed or in some cases 1 or 2 mails only indexed.

Search can only index email as long as Outlook is open. Did you have Outlook open while you were reindexing

Yes - Outlook was open and all the mail folders are visible in the "All Mail Folders" window. Some of the PSTs are indexed, some partially indexed and some were not indexed at all. In one case -since re-creating the index I have 47 new mails moved to the PST, 33 of these new mails are being displayed in WDS. 13 older mails are displayed in WDS out of a total of 7000 mails that are in the PST.

Ive tried scanpst.exe and Ive also tried the fixmapi cmd and rebooted tips which Ive picked up on other posts but with no luck.

Check to make sure that archive items are selected to be included in the index. Open Inexing Options in control panel and click the "Modify" button. Expand Outlook in the tree and make sure all subitems are checked.

Yes - I can confirm that all PSTs are selected in the Indexing Options / Modify / Outlook tree.

The next thing to check is if you have errors in your event log with source Search or Gatherer. Control Panel -> Admin Tools -> Event Viewer. Look under Application Logs. Especially pay attention to errors with "mapi" in the description text.

I looked at the Application logs and saw no reference to mapi. I rebuilt the index (Windows Desktop Search Options / Advanced / Rebuild). The Index completed building. Just 1 Application Event (Information) within the timeframe (see below) no reference to mapi. Indexing status indicates 26.5k items indexed. So no change - WDS not indexing all PSTs.

Sounds like something is set wrong from the Outlook side. What version are you using Check the Search settings from Outlook. For 2007, go to Tools -> Options -> Preferences tab -> Search Options button. Make sure the settings are correct.

Im using MS Office Professional 2003 running on XPSP2. I cant find any search options in Outlook 2003 (am I going blind ) apart from the Find/Advanced Find. Btw - Ive also run the Help/Detect and Repair with no change.
